Executive Assistant to Country Manager - Levant/Egypt (Dubai based)

Expected areas of competence:
Provides support to LEVANT-E team through the application and development of organisational and/or administrative systems to achieve efficient office management
Develops positive working relationships across the organisation to enhance performance and accomplish work
Possesses strong interpersonal skills and works effectively across organizational and geographical boundaries to meet overall business objectives
Handles sensitive materials/issues with discretion and maintains office records in a confidential and organized manner
Assists the Country Manager by preparing correspondence, reports, presentations and other materials as requested
Utilises standard PC skills and knowledge of common software applications to provide administrative support
Demonstrates ability to manage SAP applications, generate, track and close POs and expenses against budgets; demonstrates basic understanding of budgeting and accounting principles
Provides operational and administrative support to Country Manager and other members as requested
Organises complex travel itineraries, meetings, other ad hoc events and make the necessary logistics arrangements as needed
Organises and streamlines Country Manager’s diaries in order to ensure priority to urgent and import requests
Demonstrates excellent judgement, verbal and written communications skills
Demonstrates a high degree of independence, requiring minimal supervision from management to accomplish complex project work assignments. Eagerly accepts challenges and new responsibilities.
Maintains administrative office efficiency and organization at all times looking to improve administration systems and processes
Answers and monitors phone calls and handle internal and external enquiries and requests for information
Prepares meeting agendas and take minutes of meetings in order to capture comments and specific actions
Prepares weekly management team rosters and manage the leave calendar
Ability to monitor and track resources (ie materials, equipment, etc) and proactively communicate recommendations for replenishment or improved organization to direct manager.
Setup and administration of Share Point
Facilitate couriering services and organize stationery
Communicates and follow up with external vendors and internal stakeholders for payment completion
Follow-up on invoices, debit notes and archive the same
Assists the team in preparing project briefs, coordinates and realizes promotional materials and facilitates documents through standard approval processes (ie: Mercury, SAP, etc).
Ensure full compliance with laws, regulations, and BMS Standards of Business Conduct and Ethics
